1. Pre-Authorization & Final Billing Policy
Pre-Authorization of Payment Method
To secure all reservations, a valid credit, debit, or prepaid card is required. Thirty-six (36) hours prior to scheduled service, Dallas Black Limo Service places a pre-authorization hold via our payment processor (Stripe).
- Estimated total of the confirmed reservation
- An additional 20% authorization buffer
This pre-authorization is not a charge. It is a temporary hold placed by your card issuer to verify available funds for the service and any potential variable charges.
The authorization buffer may cover:
- Additional wait time
- Extended service duration
- Route changes or additional stops
- Parking, tolls, airport, or venue fees
- Client-requested service modifications
If the required pre-authorization cannot be obtained, the reservation may be canceled prior to service.
Stripe Authorization & Delayed Capture
We use Stripe’s authorization and delayed capture model, consistent with premium travel and hospitality industry standards.
- Funds are authorized prior to service
- The final amount is captured after service completion
- Unused authorized amounts are released automatically
- Release timing is determined by the card-issuing bank
Final Billing
Final charges are calculated after service completion and reflect actual services rendered, including approved additional time or incidentals.
- Final charges may appear within 48–72 business hours
- A detailed receipt is emailed upon billing completion
Customer Consent
By providing payment information and confirming a reservation, you authorize:
- Placement of a pre-authorization hold
- Final payment capture after service completion
- Billing adjustments based on actual service usage
2. General Cancellation Policy
Cancellations must be made within the applicable timeframe for the reserved vehicle type. Cancellations outside these windows result in full charges.
3. Vehicle-Specific Cancellation Timeframes
Sedans & Luxury Sedans
- 24-hour cancellation notice required
- Late cancellations charged 100%
SUVs
- 24-hour cancellation notice required
- Late cancellations charged 100%
Mercedes-Benz Sprinters & Luxury Vans
- 72-hour cancellation notice required
- Late cancellations charged in full
Mini Buses & Motor Coaches
- 7-day cancellation notice required
- Late cancellations charged in full, including deposits
4. Deposit Policy
- 50% non-refundable deposit required within 24 hours of agreement
- Final payment due at least 7 days prior to service
- Written cancellation notice required
- Failure to provide notice results in forfeiture of all payments
5. Alcohol, Smoking & Illegal Substances
- Alcohol permitted only for passengers age 21+
- Illegal substances strictly prohibited
- Smoking prohibited in all vehicles
- Violations result in immediate service termination without refund
6. Vehicle Damage Responsibility
Clients are financially responsible for any damage caused by passengers, including:
- Excessive spills or stains
- Burns, tears, or physical damage
- Loss of revenue due to vehicle downtime
Minimum cleaning or damage fee: $250. Additional charges may apply.
7. Force Majeure
Dallas Black Limo Service is not liable for service disruptions caused by events beyond our control, including weather conditions, natural disasters, government actions, or mechanical failures.
8. Indemnification
By booking our services, you agree to indemnify and hold harmless Dallas Black Limo Service from claims arising from misuse of services, policy violations, or passenger-caused damage.
9. Wait Time Policy
Airport Transfers
- 30-minute grace period (domestic flights)
- 60-minute grace period (international flights)
- $15 per 15 minutes after grace period
Point-to-Point & Hourly Services
- 15-minute grace period
- $15 per 15 minutes after grace period
10. No-Show Policy
- No-shows charged full service amount
- Clients must remain reachable to avoid charges
11. Special Event Policy
- 14-day cancellation notice required
- 50% non-refundable deposit required
- No refunds within the cancellation window
12. Refund Policy
- Approved refunds processed within 5–7 business days
- No refunds for motor coaches, mini buses, or special events after cutoff
